PRIVACY POLICY

Cyanne's Creations is committed to respecting and protecting your personal privacy.

This Privacy Policy explains how we collect, use, store and manage personal information when you visit our website, enquire about a portrait commission, or engage our services. If you have any questions or need further clarification, please contact us via the details on our Contact page.

WHAT INFORMATION DO WE COLLECT AND HOW IS IT USED?

Information you provide directly

When you enquire about a commission, place an order or contact us, we may collect your name, email address, phone number, postal address and payment details. We also collect photographs of your pet or animal that you provide for the portrait. This information is used to create your commissioned artwork, communicate with you about your order, process payment and deliver the finished portrait.

We may also collect testimonials or feedback you choose to share, which we may use for marketing purposes with your consent.

Website and analytics information

We collect general information about visitors to our site, including domain names and which pages are accessed. This data is used for statistical and improvement purposes only. No attempt is made to identify individual users or track personal browsing activities.

Marketing communications

If you opt in to receive updates, availability notices or promotional content, we retain your contact details for that purpose. You can opt out at any time by clicking the unsubscribe link in any email or by contacting us directly.

USE OF ARTIFICIAL INTELLIGENCE AND AUTOMATED TOOLS

Cyanne's Creations creates all commissioned portraits by hand. No artificial intelligence is used to generate, alter, or produce the artwork you commission.

We may use AI-powered tools for general business operations including:

  • drafting social media captions and marketing content

  • managing appointment scheduling and email organisation

  • analysing website traffic and customer behaviour patterns

  • generating image descriptions and alt text for accessibility

Any personal information processed through these tools remains subject to the protections outlined in this policy. We do not use AI to make automated decisions about you, and we do not feed client photographs or personal details into public AI image-generation services.

HOW DO WE SECURE YOUR INFORMATION?

Once information is received, we take reasonable measures to protect it from loss, unauthorised access, destruction, misuse, modification or disclosure. This includes storing digital files on password-protected devices and keeping physical records in a secure location.

Payment information is processed through secure third-party providers (such as Square or bank transfer systems) and is not stored by us beyond what is needed for record-keeping and tax purposes.

WILL WE DISCLOSE YOUR INFORMATION TO ANOTHER PARTY?

We do not sell, rent, or trade your personal information to other organisations for marketing purposes.

We may share information only in the following limited circumstances:

  • with service providers who assist in operating our business (such as payment processors, delivery services, or website hosts), under strict confidentiality arrangements

  • if required by law, such as in response to a valid court order, warrant, or statutory requirement under Australian law (State or Commonwealth)

  • if necessary to protect our rights, property, or safety, or that of our clients or the public

When you provide a pet photograph for a portrait, that image is used solely for the creation of your artwork and is not shared publicly or with third parties without your explicit permission.

ARE MY EMAILS PROTECTED?

Emails sent to us via our website or directly are not encrypted during transmission. While an email is being sent to us, there is a small risk of interception by third parties. Once received, we secure the information as outlined above.

For this reason, we recommend that you do not send sensitive payment details (such as full credit card numbers) via email.

DOES THIS SITE USE COOKIES?

Our website may save small data files called cookies to your device to help process your requests and improve your experience with our site. These cookies do not identify you personally and are used for basic functionality and analytics.

You can adjust your browser settings to refuse cookies or alert you when cookies are being sent. Please note that some parts of the website may not function properly if cookies are disabled.

CAN THIS PRIVACY POLICY CHANGE?

We reserve the right to update this policy from time to time to reflect changes in our practices, technology, or legal requirements. Any significant changes will be notified on our website or by email where appropriate.

CAN YOU HAVE YOUR PERSONAL INFORMATION REMOVED?

Yes. At any stage, you can request that your personal information be deleted or deactivated from our systems, subject to our legal and statutory obligations under Australian law (State and Commonwealth). For example, we are required to retain certain financial records for tax purposes.

To request removal of your information, simply contact us and we will comply within 5 working days, or as soon as practicable where legal retention periods apply.
